Tour templates are itineraries that are not personalized with client information including names, dates, and prices. In place of personalized information, tour templates have smart tags as placeholders. As a result, they can't be sent to clients as they are or without being personalized first.
Using Tour Templates
Using tour templates will save you a lot of time when sharing quotes with your clients as you don't fill in the day-to-details all over again. All you'll do is add client information to personalize the template, and make edits where necessary.
There are two main options you can use to send tour templates to clients.
1. Using the send to client button
- First go to the templates tab and use the "Send to Client" button under your tour templates.
- You'll be directed to create a quote to personalize the template.
- Choose whether it's for a new or existing client, click "Create", proceed to add the client information, and fill in the tour request details.
- Once done, create a quote and send it to your client.
2. Use the select template option
- Add the details of the client you want to send the template to by using the "Add New Request" button under the request tab.
- Fill in the client information and move on to "Next Request Details" to add the tour details.
- Instead of entering the tour details manually, use the "Select Template" option to apply the tour template itinerary that your client is requesting.
- Save the request, proceed to create a quote and once you're done, send it to your client.
!! Pro tip, a third option
If you want to add a Tour Template at a later stage you can even Apply a Template in the Quote Builder.
Use the button at the left top. 'Apply a template to this quote'.
Choose a tour Template you wish to use and Confirm & Apply (and override).
The day-by-day will be filled with the new tour template information (overwriting what was already there).
